Advent of VoIP in the SMB Market will be a Game Changer: Virtual PBX COO

The popularity and dependency on VoIP (Voice Over IP services) has been increasing over time as VoIP technologies mature and many companies no longer consider them a risk to deploy.   In fact, when considering an update or replacement of their traditional PSTN system, many businesses are highly likely to replace them with VoIP-based phone systems.  The migration to VoIP over the past few years has just been rampant.  Fueled by negligible long distance fees and flexible, cost effective alternatives, VoIP telephony has experienced a massive surge among small and medium sized businesses.

According to an AMI-Partners report, more than 30 percent of small businesses (1 – 99 employees) and 50 percent of medium sized businesses (100-999 employees) expect VoIP to become a critical part of their operations.  In addition, a new forecast from In-Stat research shows that between now and 2015, the amount of small offices (1 to 4 employees)  using broadband IP telephony services will increase by 83 percent.

To create a clearer picture of the VoIP market and where it is headed, TMC (NewsAlert) CEO Rich Tehrani recently caught up with Greg Brashier, chief operating officer at Virtual PBX, a provider of cloud-based business phone systems.

Brashier believes that virtual, cloud-based technologies and next-generation mobile devices will soon replace traditional business phone systems, as more and more SMB and enterprise employees use these solutions with softphones for VoIP calls.  “With the increased data bandwidth and intelligence of smartphones, more users will be putting softphones on mobile devices, and using them as the destination for VoIP calls. In doing so, they can take business calls anywhere without paying PSTN or mobile fees for minutes. This technique will also allow users to make outbound calls through their corporate phone systems, enhancing call tracking and reporting while simultaneously delivering a corporate caller ID instead of personal mobile numbers,” said Greg Brashier.

Greg also believes the adoption rates of Virtual phone systems will increase exponentially over the next few years as these phone systems continue to move from niche products to the mainstream market.

“This trend will bring a host of benefits to mobile workers and companies”, says Brashier, “such as significant costs savings and the ability to access all the features of a corporate phone system while out of the office.” Greg continues, Virtual PBX pioneered mobile business telephony with the first Virtual PBX system. The genesis of the company was the idea that workers in a business should be enabled to work from any location, using any telephone. We have clients with workers scattered around the globe, all part of the company’s central phone system, and users communicate.”

Regarding the how the market segment evolved over the past year, and the trends which have fueled those changes, Greg says, “The largest changes in our market segment have been the increasing recognition and acceptance of virtual, “cloud based” phone systems as a more cost-effective replacement for traditional PBX hardware and the use of VoIP in place of traditional analog telephony.” Greg adds, “Our market has not yet completely assimilated the last major disruptive technology – the advent of VoIP in the SMB – and this will continue to be the biggest single factor changing the landscape in this market. The majority of SMBs are still using traditional phone systems, but the market share of VoIP is now making major inroads.”

This model is becoming mainstream and it is what businesses are requesting. Greg explains, “Virtual PBX has been leading this charge for more than 15 years. In the first 10+ years, all development was done based on getting virtual, cloud-based systems to work with traditional telephone equipment and phones. Now equal development is being generated for VoIP users. For us, it has always been a cloud model – first the PSTN cloud and then the Internet cloud.”

Furthermore, Greg explains that businesses are also requesting systems that work without fail, have easy implementation and are the best price for each clients specific situation.  Greg says Virtual PBX addressed these request, creating “a flexible, blended approach that allows any combination of traditional and VoIP systems, embraces third-party offerings through our Open Systems (NewsAlert) initiative, and offers multiple use and payment models tailored to each need.”

As for the future of Virtual PBX Greg says, “Many SMB users aren’t aware of the wide variety of options and the flexibility available to them today. Company Heats Up and Increases Outbound Calls with Virtual PBX Complete

Great customer service is the lifeline of every business. It is an essential part of maintaining your existing customers as well as winning new ones. The foundation of great customer service is forming a relationship with customers.  But how do you go about forming such a relationship?  One of the best ways is to make sure you are always available and in touch with your customers.

Customer satisfaction is the No. 1 priority for the employees of Sauna Works, a company specializing in infrared saunas. Sauna Works has been in the business of manufacturing and selling infrared saunas for over 14 years and have learned quite a bit about customer service and ensuring customer satisfaction.   Their motivation and dedication to provide excellent customer service drove the company’s move to VirtualPBX five years ago to allow employees to stay in constant touch with customers through landline, mobile, and VoIP phones.

In 2006, the company was managing a showroom in San Francisco and many of their employees were working remotely.  Vice President Andy Kaps knew using a feature-rich PBX solution was the only way to monitor and keep on top of sales and service calls.  When providing great customer service, it is so important to be able to communicate with customers from any location.  You need to be reachable no matter where you are.

The Results Are In!

Survey says: owners of small and medium-sized businesses see cost savings, improved productivity by adopting virtual office approach.

You may have noticed that the number of people choosing to work from the comfort of  their own homes is increasing as this lifestyle becomes more attractive to workers and employees.  This phenomenon comes as no surprise given that today’s technology and business services make working from home easier than ever.

“Small-and medium-sized business leaders are on the forefront of embracing virtual offices to boost business efficiency, cut costs and provide more flexibility to their workforces,” said Greg Brashier, COO of Virtual PBX. “At Virtual PBX, we’re responding to the needs of this growing population with technology designed to make it easy for them to stay in touch with colleagues and clients. In particular, we’ve seen strong interest in our Virtual PBX Complete solution, which allows our users to leverage the industry’s deepest feature set and the flexibility to use any phone, all at 40-80 percent savings over traditional phone services.”

Virtual PBX, inventor and leading supplier of hosted PBX services, recently learned the effect virtual offices have on businesses, surveying over 600 Small-and-medium business representatives – including CEOs, owners, partners, directors and sales managers.   The survey incorporated a wide range of topics including frequency of virtual office use, perceived effectiveness in a virtual setting, virtual office costs and use of technology that supports virtual offices.  The results were very interesting, to say the least.

Lets start with the top reasons SMBs adopt virtual offices.  According to the survey, the number one reason to work from home, chosen by 61 percent of respondents, was flexibility, followed closely by cost savings (54 percent), geographic distance of staff (42 percent) and the desire to reduce commute time, cost, and pollution (41 percent).

So just how many people work virtually, from home offices, coffee shops and other not-traditional locales?  A whopping 60.9 percent of respondents work from a virtual office almost all the time and 27 percent will work outside the office 2-10 days a month.  In addition 57 percent of survey-takers indicate that half or more of their workforce works outside the office during a typical month.

The below results may be part of the reason working from home is so popular among SMBs:

•   The majority of respondents – 59 percent – feel they are more  effective working from a virtual location than in a traditional office.

•   On the cost-savings front, 43 percent of the SMB leaders reported they save $1,000 or more each month on items such as rent, IT equipment,     phone service and supplies by using a virtual office. (Eight  percent of this group saves more than $10,000/month.)

Cell phones are extremely popular among virtual workers, with 87 percent of respondents using them as a business communications device.  However, landlines are still quite popular, coming in as the second choice at 49 percent.  VoIP phone lines and computer-based VoIP soft phone are used by 25 percent and 20 percent of the survey-takers, respectively.

According to the representatives, having both a local and a toll free number is extremely important in a virtual office, allowing them to appeal to both local customers and those outside their region.  Two-thirds of respondents have a local number for callers to reach them on while the same number also indicated they have a toll-free number.

Disliking “on hold” music, our survey takers much preferred their phone system features include “custom music or messages while on hold”.  This feature was even more popular than built-in conferencing, call forwarding to any phone, and caller preview.

On a racier note, some participants were all too honest when asked what they wear when working virtually. 3 percent of respondents admitted to working from home in their birthday suits!  Of the remaining survey takers, 50 percent prefer the comfort of working in shorts, T-shirt, and flip-flops; 37 percent dress up in business casual attire;  4 percent just stay in their pajamas and 2 percent dress to the nines in formal business attire.

So what did we learn?  Working virtually can help you to be more productive, help you save time and money, and apparently even save some people the hassle of dressing for work in the morning!  Let’s just make sure those particular employees attend the audio-only conference call!
